Board of Directors Communications Policy

 

Introduction:

  • At the Midtown Bryant Council Inc., also known as the Midtown Bryant Property Owners' Association (The "Association"), effective communication within the Board of Directors (The “Board”) and from the Board to the community is essential for the well-being of our community. This policy specifically outlines the principles and expectations guiding communications within the Board and from the Board to community members. We encourage constructive dialogue, professionalism, and uphold the values of prosperity, unity, and civility within these specific channels. Additionally, we extend this encouragement to property owners and members, fostering a collaborative effort for the betterment of our community.

 

Section I. Guiding Principles:
 I. Constructive Dialogue:

  • We encourage open and constructive dialogue within the Board and in communications from the Board to community members.

  • Property owners and members are encouraged to express differing viewpoints in a manner that fosters understanding and collaborative problem-solving.

 II. Professionalism:

  • All communications within the Board and from the Board to community members should adhere to a high standard of professionalism, treating all individuals with respect and courtesy.

  • Property owners and members are encouraged to communicate with dignity and integrity in all interactions.

 III. Transparency:

  • Information relevant to the community shall be communicated transparently within the Board and from the Board to community members, ensuring everyone is informed about decisions and developments that impact the association.

 IV. Unity:

  • Communication efforts aim to strengthen the unity of our community by promoting a sense of shared responsibility and common purpose.

  • Property owners and members are encouraged to contribute to fostering unity among homeowners.

 V. Civility:

  • We prioritize civility in all communications within the Board and from the Board to community members, discouraging any form of disrespectful language or behavior.

  • Conflicts or disagreements should be addressed with a focus on finding amicable resolutions that benefit the community.


Section II. Communication Channels:

 I. Official Email:

  • Official board communications will primarily be conducted through designated association email accounts to ensure consistency and transparency.

 II. Community Meetings:

  • Regular meetings will be held to facilitate face-to-face communication within the Board and from the Board to community members, allowing for a more direct exchange of information and ideas.

 III. Website and Documentation:

  • Important documents, meeting minutes, and policies will be accessible on the association's official website for reference.

 

Section III. Enforcement:
 I. Peer Accountability:

  • Board members will encourage and remind each other to adhere to the communication policy within the Board and from the Board to community members, fostering a culture of mutual accountability.

 II. Community Involvement:

  • Property owners and members are invited to participate in shaping communication norms through community feedback and engagement.

 III. Addressing Violations:

  • Violations of the communication policy within the Board and from the Board to community members will be addressed promptly and privately by the Board of Directors, with a focus on education and improvement.

 IV. Impartial Evaluation:

  • Communications from the board within the Board and to community members will, whenever possible, be analyzed and evaluated by an impartial resource to ensure that they maintain constructive dialogue and professionalism in line with the values of prosperity, unity, and civility.

 

Conclusion:

  • This communication policy exclusively governs interactions within the Board and communications disseminated from the Board to community members. By upholding these principles, we strive to cultivate an environment aligned with the values of prosperity, unity, and civility for the collective benefit of all Midtown Bryant property owners.
     

No provision of this Agreement can be rescinded, altered, and or amended without a majority vote of the members of the Board of Directors. Any changes made to this document will be documented and recorded by the board.
